Posting Summary:
The Music and Music Education Program is seeking an Instrument Manager.
Job Summary/Basic Function:
This role is responsible for overseeing instrument inventory and maintenance, coordinating practice room and classroom scheduling, managing instrument loans, and providing general office and administrative support. The ideal candidate will demonstrate strong organizational skills, professionalism, sound judgment, and the ability to work collaboratively with faculty, staff, and students in a dynamic academic environment.
INSTRUMENT CARE:
● Coordinate and maintain the program’s instrument inventory, including storage, repairs, maintenance schedules, and vendor relationships.
● Care for and build the instrument inventory including:
● Create an annual instrument maintenance budget in partnership with the Program Secretary
● Obtain faculty approval for new instrument purchases and repairs
● Manage all aspects of complex repairs, including sourcing and
● onboarding vendors, establishing repair schedules, and overseeing instrument transport
● Arrange for the removal of old or broken instruments and equipment as needed
PRACTICE ROOMS:
● Coordinate the semester practice room rental process for students.
● Assist students with completing practice room forms and provide tours of available practice rooms during sign-up periods
● Create and maintain a database of room assignments and ensure rental forms are up to date and readily accessible in the office
● Report any disputes between renters or concerns regarding room misuse to faculty as they arise
● Communicate key return deadlines to students
● Ensure secure management of practice room keys when not in use
● Maintain a full inventory of keys for each practice room
● Monitor the condition of practice rooms and coordinate maintenance
● Requests, including piano tuning, electrical repairs, humidifier maintenance, and other facility needs
CLASSROOMS:
● Coordinate the semester classroom scheduling process for adjuncts instructors and faculty ensuring priority is given to faculty-taught courses, with remaining availability allocated to applied lessons as needed
● Assist with music lesson scheduling including:
● Manage the online SuperSaas classroom reservation system
● Create and securely share new passwords each semester for
● reservation access, maintaining confidentiality.
● Monitor reservations to ensure proper room usage and make inquiries on any
● unusual reservations
● Report any concerns regarding room misuse to the Program Manager
● Maintain classroom spaces, including:
● Ensure rooms are in order. (arrange chairs/tables as necessary, check pianos, check A/C and temperature settings, turn on air purifiers, remove unauthorized items)
● Assist with classroom set-ups for daily instructional needs and special events
INSTRUMENT LOANS:
● Maintain a database tracking borrowed instruments and ensure
● loan forms are current and accessible in the office
● Facilitate the distribution of instruments to borrowers
● Communicate return deadlines to borrowers
● Collect any fees in conjunction with rentals
EVENTS:
● Assist faculty, staff and students with evening recitals and performances on campus including:
● Creating posters, e-flyers and programs for concerts
● Take on ushering duties and/or transporting equipment on performance days as needed
● Provide assistance with any in-person and virtual events, including the Annual Graduation Party, New Student Orientation Days, Admitted Students Days, and Open House events.
OTHER DUTIES:
● Provide general support for the Music Education office, including:
○ Greeting and assisting visitors and providing reception service
○ Maintaining regular office hours (20 hours per week during business days)
Minimum Qualifications:
● Master's or doctoral degree in music
● Experience working in an office and academic environment.
● Excellent follow-through, customer service, and problem-solving skills.
● Interest in maintaining the instrument inventory and a willingness to take on expanded responsibilities over time.
● Basic knowledge of musical instruments.
● A self-motivated individual capable of balancing both coursework and professional responsibilities.
● A people-person who will enjoy working with performers, students, professors, and staff.
● Must be willing to occasionally move large instruments and equipment (upright bass, timpanis, amplifiers, etc.).
● Experience answering phones and working in a customer service environment.
