Job Summary/Basic Function:
The Klingenstein Center is seeking a Program and Event Manager to help the center's Executive Director develop and manage events, course load, and collaboration across teams.
CHARACTERISTIC DUTIES AND CHARACTERISTICS:
Program Management and Support:
- Plan and manage all supplies for on and off-campus programs.
- Coordinate work service with external partners and vendors to support program staff, faculty, and students.
- Collaborate with the Executive Director to propose activities and events for the Center’s Master’s program, order and compile materials for the selected activities, and set up on the day of the event.
- Collaborate with the Executive Director and budget managers in regards to researching and selecting new swag items for various programs within the Center.
- Communicate and facilitate program needs within the TC community.
- Proofread outgoing communication, including annual reports, newsletters, program profile booklets, and advertisements.
- Coordinate and schedule various Klingenstein Center faculty and advisory board meetings.
- Special projects and research as instructed by the Executive Director.
- Support Dr. Furlonge with new EdD program inquiries and email communications.
- Canvas learning management system support, liaising between the Center and TC offices and systems.
- Provide Canvas support for the Center and programming as needed.
- Secure spaces on and off-site for class meetings, alumni gatherings, and other events connected to degree and non-degree programming.
Conferences:
- Attend two industry-specific conferences annually, when needed.
- Manage multiple project tasks, including planning events, liaising with external collaborators and guest speakers, and supporting alumni-related efforts.
- Solicit and approve bids forthe Center’s events.
- Work closely with program directors to design marketing documents, arrange travel and accommodations for faculty and external partners, and coordinate payments.
- Prepare collaterals for distribution at off-site marketing events and conference presentations.
Instructional Support:
- Develop team meeting agendas and lead meetings
- Provide classroom support for faculty members
- Review of all incoming correspondence, via mail and email.
- Serve as the liaison for the Canvas learning system.
- Order supplies, liaise with vendors, and work closely with AP for payment processing
Center Team Support:
- Act as the principal contact for the Center’s office management.
- Serve as the principal contact for the Department.
- Design and manage new supply inventory systems
- Manage and coordinate visits from external guests to ensure that daily office management aligns with these strategic efforts.
- Manage all office equipment and key replacement programs.
- Manage computer and laptop replacement inventory.
- Support the post program’s survey data collection and feedback presentation/preparation.
- Support development efforts, tracking, reviewing, and documenting gifts and grant payments, and generating donor letters.
- Other tasks as assigned
Minimum Qualifications:
- Bachelor's degree, relating to communications or social media marketing.
- Strong Interest in learning systems and troubleshooting ad hoc problems
- Ability to handle and protect confidential and sensitive data with integrity
- Must be able to analyze data, merge mailing, and prepare reports
- Ability to learn new software and research techniques as needed
- Ability to think critically and propose innovative ideas
- Proficiency in Microsoft Office & Google Workspace
- Strong interpersonal, collaborative, presentation, and communication skills
- Excellent time management and organizational skills, including detail orientation, multitasking, ability to prioritize and meet deadlines
- Ability to work independently and as part of a team
- Ability to complete assigned projects with minimal supervision
Preferred Qualifications:
- Three years of experience in higher education or the independent school industry.
- Three years of experience in managing events.
- Three-year experience with academic and/or student program support
- Three years of experience supporting complex operations and staff members at an academic and research center.
- Two years of experience in managing complex Center operations
- Two years of experience in data analysis.
- Ability to be proactive, to anticipate, and take the initiative to fulfill Center's needs.
Salary Range:
$63,000-$76,000
