Job Summary/Basic Function:

The Program Manager, in conjunction with the Program Director, is responsible for the academic management of the Program (Health Promotion and Education, Special Education, Nutrition, School Psychology). This entails continuous communication with the Director of Academic Administration (DAA), the Faculty Program Director, and involvement in all aspects of academic program management, including coordinating the admissions process, coordination of field or teaching placements, academic advising, and financial oversight.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

Program Management and Coordination 

Program management and student coordination 

  • Assist in the development, implementation and enforcement of program policies and procedures
  • Assist faculty with advisement and course plan and schedule development
  • In conjunction with faculty, prepare scholarship recommendations; supervise and support students with the registration process (DegreeWorks)
  • Develop and update program information packets, presentations, and student advisement guides; manage preparations for program orientations and webinars
  • Maintain a Program Canvas site as a hub for program resources for students and for collecting student accreditation data
  • Work closely with the Office of Accreditation and Assessment to produce reports.
  • Develop and maintain database on programs using data provided by Institution Research Reports (Argos, Banner), student cohorts and alumni
  • Ensure that student degree audits and other files are complete and up-to-date (Degree Works); oversee student outreach and communication
  • Respond to current student concerns and questions, including coordinating between TC offices (i.e., liaise with Financial Aid, Registration, Disability Services, Office of Student Support, Bursar)
  • Assist with alumni relations and communications
  • Prepare ad hoc materials and special projects for Faculty Program directors and department chair
  • Oversee website content and maintenance.

Field placement coordination 

  • Coordinate field placements (field experiences, practice, and student teaching) for the respective program including meetings with field sites, if needed, throughout New York City
  • Observe in potential placement sites and communicate effectively with staff in those sites
  • Make recommendations based on observations and experiences at various sites
  • Communicate with students about placement paperwork deadlines (Exxat, Time2Track, Canvas)
  • Attend program manager meetings with others in the department to stay up on College policies, procedures, and deadlines.

Other Administrative coordination 

  • Co-supervise student hires in the program, including training, evaluating, employee development, disciplinary action
  • Work with department staff to organize special events, including orientations and guest speakers
  • Update course schedule before each semester by working together with program director and department staff

Program Enrollment Management - Admissions, Financial Management, Registration 

Admissions

  • Assist with the review of applications; monitor and organize the admissions process.
  • Conduct follow-up on additional information requests
  • Assign advisors
  • Communicate with prospective students throughout admissions process to answer their questions about the program
  • Use data summaries provided in the Admissions HUB (Slate) to keep tabs on application data and communicate with Enrollment Management (e.g., marketing)
  • Work with Program Director, Department and College to set and achieve enrollment targets and
    financial aid scholarships for admitted students
  • Analyze enrollment data and trends
  • Serve as liaison with Admissions, Financial Aid, Registrar, OISS, ODS, and other TC offices.

Financial Management

  • Prepare materials for program budget planning, reporting, and analysis
  • Consult with program faculty and DAA on needs and limitations; management of college scholarship allocation
    decisions in collaboration with DAA and conduct problem-solving for student inquiries regarding
    enrollment/funding decisions.

Minimum Qualifications:

  • Master’s degree preferred
  • (3 -5) years of experience in program management at the college level, preferably in a
    practicum setting
  • Knowledgeable about culture of schools and higher education institutions
  • Detail oriented
  • Skilled multi-tasker with team player approach
  • Ability to prioritize and meet deadlines
  • Excellent judgment and ability to problem-solve
  • Strong computer skills (word processing, Google workspace, spreadsheets and/or other database capabilities), electronic scheduling
  • Readiness to learn TC data management systems (e.g., Slate; Banner; Degree Audit; Canvas). Excellent communication and interpersonal skills: both oral and written
  • Ability to deliver high-quality student support and engagement

Preferred Qualifications:

  • Experience working in education within the respective program/disciplinary area
  • Experience with practicum/fieldwork sites across NYC, including the boroughs, Westchester and Long Island
    Experience with TC systems.

Salary Range:

$70,000-$75,000
